Your Booking - Frequently Asked Questions

We prioritise security in all of our bookings. Reservations are processed through Uplisting, an automated system. Shortly after booking, you’ll receive an automated email with instructions to complete the required pre-arrival steps.

For more information, check out the FAQs below. They may help answer any questions about your booking.

When will I receive check-in information?

For security reasons, your check-in email is sent automatically 1 hour before your scheduled check-in time, provided all pre-arrival requirements have been completed.

To help you prepare, you'll also receive reminder emails 7 days, 3 days, and 1 day before arrival.

If any item in these emails shows "(Not Yet Completed)", we are still waiting for you to complete that requirement. Simply use the link in the email to finish your pre-arrival steps.

Once all required steps are complete, your check-in email will be sent automatically 1 hour before your arrival time.

Can you send check-in information early?

To protect both our guests and the property, we follow strict security procedures and do not send check-in information in advance.

Your check-in details are sent automatically 1 hour before your scheduled check-in time, provided all pre-arrival requirements have been completed.

The only exception is if an early check-in has been approved. In that case, your check-in information will be sent 1 hour before your revised check-in time.

(see 'Can I check in earlier than 5 PM?' below).

Why am I being asked to provide a security deposit?

As with any hire service, a security deposit is required (e.g., car hire, bicycle hire, tool hire).

  • Airbnb Bookings: If you booked through Airbnb, we use their deposit system, so no pre-authorisation is needed from you.
  • Other Travel Agents (Booking.com, Agoda, Vrbo, Expedia, etc.): If your booking platform doesn’t have its own deposit system, we require a pre-authorization via Stripe 3D Secure.

This deposit is a pre-authorisation, not a charge - meaning it will only be used if necessary (e.g., for damages, smoking, or vaping).

When will the security deposit be processed and when will I get it back?

This policy applies only to bookings made directly via our website, booking.com, Google, or VRBO.

We use Uplisting Protect to manage security deposits through a pre-authorisation hold rather than a direct charge.

How It Works:

  • 24 hours before arrival, a £150 pre-authorisation hold is placed on your card.
  • During your stay, Uplisting Protect renews the hold every 4 days for continuous coverage. This means at least £300 in available funds is needed to accommodate overlapping holds.
  • If a renewal fails, £150 will be captured from the active hold, with a refund processed after check-out.
  • The final pre-authorisation automatically expires a few days after departure:
    • VISA cards: 5 days
    • Other cards: 7 days

For full details, visit: Uplisting Protect Guide.

Important: Failed Pre-Authorisations

If your card pre-authorisation fails before arrival, you’ll receive an email with a link to update your payment details.

Check-in details will not be sent until this step is completed, so please update your card information promptly.

Why am I being asked to sign terms and conditions of hire?

As with hiring a car, bicycle, or any other hire service, there are terms and conditions that apply to the hire. By signing, you confirm that you accept responsibility for the booking and agree to these terms. It is also your responsibility to ensure that all guests and visitors invited by you to the property during your booking comply with these terms.

I'm booking for someone else - how do they access the property?

If your booking was made through an online platform such as Airbnb, Booking.com, or Vrbo, all communication will take place through that platform’s messaging system. Check-in details will be provided on the day of arrival, one hour before check-in time. Please ensure these details are forwarded to the guest who will be staying.

If your guests have their own Airbnb accounts, you may be able to invite them to join the reservation. This allows them to access booking information directly through their own account without needing you to forward it. You can find more information about this process here:

👉 How to invite guests to your Airbnb reservation

If using booking.com please see the following:

👉Booking.com - How to book for a guest traveller

If you booked directly with us, communication will take place via the email address provided at the time of booking. Please ensure that this is entered correctly. You can also access your personal booking page at any time to update your email address if you wish to have check-in details sent to a different contact. Once updated, all future correspondence will go to the new address.

For security reasons, check-in information is only sent on the day of arrival and only to verified guests.

Someone else booked for me - how do I access the property?

If someone else booked on your behalf, they may have chosen to receive the check-in email directly.

Please contact the person who made the booking and ask them to:

  • Forward the check-in details to you

OR

  • Update the booking with your email address before arrival (only applicable to direct bookings)

If the booking was made through Airbnb or Booking.com, the booker may also be able to add you as a guest within the reservation.

For security reasons, we only provide access details to verified guests and authorised booking contacts.

Where can I store my luggage?

If you are arriving in or departing from Edinburgh, you can store your luggage in the city centre.  Please see the following link for information.

https://edinburgh.org/planning/local-information/luggage-storage-in-edinburgh/

We do not offer luggage storage prior to check-in time at any of our properties.

Is there a bus or train from Edinburgh Airport?

Yes! The Traveline Scotland website provides all the information you require about getting around Scotland.  Simply enter your start point and destination in the journey planner and it will show you transport options, times and costs.

Visit the Traveline Scotland website here: https://www.travelinescotland.com/cms/home

How do I get to Edinburgh City Centre?

Getting to Edinburgh City Centre from Dunfermline is very straight forward.  There are buses and trains regularly.  Taxis and Uber can also be booked.

For public transport options, please visit Traveline Scotland and use the journey planner https://www.travelinescotland.com/cms/home

For taxi companies, you may wish to search online for 'Dunfermline Taxi' and select based on rating or preference.

More importantly, how do I get to Dunfermline City Centre?

A fair question. After all, Dunfermline was a capital city long before Edinburgh.

The city centre offers historic landmarks, great cafés, restaurants, shops, and the beautiful Pittencrieff Park (know locally as The Glen). Depending on which property you're staying in, it's usually within walking distance or just a short journey away.

It may not have a castle on an extinct volcano, but we think it's worth exploring first.

How can I contact you?

Upon booking, you will receive messages and emails from us. Simply reply to any of these communications to get in touch.

You can also call us on +441383 308803. If we are unable to answer, please leave a voicemail or send us an email at hello@gemservicedapartments.com
